What Drawings, Samples, and Use Conditions Should a Customer Provide Before a New Project Starts?
Effective project input should cover at least product structure, material range, target surface, use environment, quality requirements, and commercial delivery conditions.
The more complete the project information, the earlier a supplier can identify structural, surface, and delivery risks. Sending only a piece of board and asking “can this be powder coated?” rarely provides enough information for a conclusion that is responsible for the real product.

Product drawings explain what must be made
Customers should provide main dimensions, thickness, front and back requirements, edge profiles, holes, grooves, connections, and assembly information. Complex products also require sections or 3D files that identify major visible faces, functional areas, and acceptable process locations.
Drawings need version control. Any later structural change should be communicated because even a small revision to a hole, groove, or edge may affect the surface and the assembly result.
Physical references explain what the customer wants to achieve
Color, gloss, texture, and tactile feel are difficult to communicate accurately through text or screens alone. Existing products, competitor samples, or design references can help align the direction, but the customer should identify which characteristics must be matched and which are only references.
If no physical reference exists, the project can begin with candidate color samples and then create an approved sample using the real structure. Early reference samples and final approved samples should remain clearly distinguished.
Use conditions explain why the requirements matter
Bathroom furniture, kitchen cabinetry, desktops, and hotel furniture face different exposure to moisture, cleaning, contact, and transport. Customers should describe installation location, expected use, maintenance method, sales region, and relevant target-market requirements.
Without this information, it is difficult to select meaningful validation items and easy to apply a general furniture surface to a more demanding application without enough evidence.
Commercial information explains how the product will be delivered
Expected volume, model mix, number of colors, lead time, phased delivery, packaging, transport, and future replenishment all influence project planning. A very small one-off order and a stable recurring program require different development and cost logic.
Responsibility for samples, testing, tooling, or dedicated resources should also be clear, as should who has final authority to approve the design and quality standard.
Technical boundary: Project information is used for suitability assessment. It does not mean the supplier promises performance, lead time, or mass-production results before validation.
Project communication: A standardized project-input form can combine drawings, samples, use scenario, standards, quantity, and timing into one complete submission.
